Recruitment register data protection

The Finnish Institute of Occupational Health is the controller of the personal data generated in its recruitment activities. The recruitment register of the Finnish Institute of Occupational Health is used to collect personal data from persons applying for a job with the Finnish Institute of Occupational Health.

Why and on what basis we process personal data

We process personal data in the context of receiving and processing job applications. The Finnish Institute of Occupational Health may also use an application for other job advertisements if the jobseeker has given their consent to this.

The legal basis for processing personal data is consent (Article 6, Section 1(a) of the GDPR).

What personal data we process

The register contains the identification and contact information of jobseekers (name, email address, other contact information) and the answers and information entered by the applicant in the application.

How we obtain your personal data

The jobseeker enters the data into the system.

For what purposes we disclose personal data

We use IT service providers that provide us with technical solutions for data processing. Personal data is processed in IT services suitable and secure for each type of data. The Finnish Institute of Occupational Health has an agreement with each IT service provider, and the terms and conditions for the processing of personal data have been defined.

In some cases, we may disclose personal data to third parties involved in the recruitment process. These purposes include, with your consent, suitability assessments.

We may disclose personal data to authorities as required by and in the ways permitted by law.

Do we transfer personal data outside the EU/EEA area

We do not transfer personal data outside the EU/EEA.

How long we store personal data

We will store the application for two years from the date of submission for potential possible legal claims.

The recruitment system provides an option to submit an open job application. In this case, the applicant's data will be stored for six months.  An automatic message is sent to the applicant from the system before the data is deleted and the applicant can keep the open application valid if they wish.

Do we conduct automated decision-making or profiling?

We do not conduct automated decision-making based on information of the recruitment register.

What the provision of information signifies

The collection of personal data is necessary for submitting and processing job applications.

Your rights

You have several rights with regard to your personal data, which vary according to the situation. You can submit a request to the Finnish Institute of Occupational Health regarding your personal data either as a free-form request or using a form provided by the Finnish Institute of Occupational Health. Submit the request to the Data Protection Officer of the Finnish Institute of Occupational Health. You will receive a response to your request. The Finnish Institute of Occupational Health may refuse to execute a personal data request or restrict the exercise of the data subject's rights in situations permitted by law.
